Fixing Citation Formatting

Citation formatting issues usually come from incomplete source information, wrong style selection, or using Word’s older citation format versions.

Problem: Wrong Citation Style

1. Go to the References tab
2. Find the Style dropdown
3. Select the correct format (APA, MLA 9, Chicago, etc.)
4. All citations and the bibliography update automatically

Problem: Citation Missing Information

1. Right-click the citation in your text
2. Select Edit Source
3. Fill in all required fields for your citation style
4. Click OK — the citation updates throughout the document

Problem: Author Name Format Wrong

For APA (Last, F.):

1. Edit the source
2. In the Author field, use the format: Last, First Middle
3. For multiple authors, use semicolons: Smith, John; Jones, Jane
4. For organizations, check Corporate Author

Problem: In-Text Citation Shows Full Reference

1. Right-click the citation
2. Select Edit Citation
3. Check the Suppress options for Author, Year, or Title as needed
4. For page numbers, add them in the Pages field

Problem: Citations in Wrong Order

In-text citations with multiple sources should be alphabetical (APA) or chronological (some styles):

1. Right-click the citation
2. Look for options to edit the grouped citation
3. Or delete and re-insert in the correct order
