Fixing Document Compare Issues
The Compare Documents feature is powerful for identifying differences between two document versions, but it can fail under certain conditions.

Problem: Compare Button Is Grayed Out
- Check if the current document is protected:
- Go to Review > Restrict Editing
- Click Stop Protection (you may need a password)
- Make sure both documents are .docx format
- Close all other documents except one, then try Review > Compare
Problem: Compare Produces Errors or Crashes
This happens with very large or complex documents:
- Save both documents as .docx if they’re in other formats
- Remove any document protection from both files
- Try comparing smaller sections: copy parts to new documents and compare those
- Disable add-ins that might interfere (start Word in Safe Mode)
Problem: Compare Results Are Inaccurate
- Go to Review > Compare > Compare Documents
- Click the More button to expand options
- Check or uncheck comparison options:
- Comments, Case changes, Whitespace, Tables, Headers/Footers, etc.
- Choose comparison granularity: Word level vs Character level
How to Use Compare Correctly
- Go to Review > Compare > Compare Documents
- Browse to the Original document and the Revised document
- Choose where to show changes (New document recommended)
- Click OK
- Review all changes in the resulting comparison document
- Accept or reject each change individually
